01 Event terms
Registration is confirmed only after your payment has been verified and a ticket has
been issued. You agree to provide accurate information, to keep your ticket safe, and to
present it at check-in when requested.
Tickets are personal and may not be transferred or resold without written approval from
the summit secretariat. The organisers may make reasonable changes to the programme,
speakers, timing, or venue. If a material change affects your participation, we will
contact you using the details on your registration.
Admission may be refused where a delegate does not follow venue rules or the code of
conduct, or where a ticket cannot be verified.
02 Registration and payment
Participation fees are shown in Ghana cedis (GHS) on the registration page. Fees are
collected securely through Paystack. The registration form is saved before the payment
window opens, but it is not marked as paid until the transaction is confirmed.
If your connection is interrupted during payment, use the “I've paid” option and enter
the phone number from your registration form. The system checks completed payment
attempts for that number and retrieves the ticket that has already been issued.
Your ticket number is generated after a successful payment and follows the format
AIDSS-YYYY-XXXXX. Keep this number for verification and check-in.
03 Refund policy
Registration fees are generally non-refundable. We understand that plans can change, so
requests are reviewed in good faith by the summit secretariat.
A refund may be considered where the organisers cancel the event, where a duplicate or
erroneous charge occurred, or where a delegate is unable to attend for a serious
documented reason. Requests should be sent to the secretariat as soon as possible and
no later than 14 days before the event. Approved refunds are returned through the
original payment channel where possible.
Payment processing fees and bank charges may be deducted where they are not recoverable.
Substitutions and changes between in-person and online participation are subject to
availability and must be approved by the secretariat.
04 Code of conduct
AIDSS is committed to a respectful, inclusive, and harassment-free environment for
everyone. Delegates, speakers, partners, and staff are expected to treat each other with
courtesy and professionalism.
Harassment, discrimination, intimidation, disruptive behaviour, and damage to property
are not acceptable. Please respect the venue, follow instructions from event staff, and
obtain consent before recording or photographing other participants.
Concerns can be raised with the secretariat or any member of the event team. The
organisers may take appropriate action, including removing a participant from the event
where necessary.
05 Privacy and consent
We collect the information you provide during registration so that we can process your
payment, issue your ticket, verify your participation, and send important event updates.
Your records are handled by the summit secretariat and authorised event partners.
The registration form asks for separate consent choices. You can choose whether to
receive updates by email or SMS, appear in the attendee list or event app, be included
in event photography and video, or receive information about future Southshore
University College conferences and seminars. Optional consents are not required to
register.
We keep registration and payment records only as long as needed for event administration,
financial records, and legal obligations. To access, correct, or request deletion of
your information, contact the secretariat using the details below.
Your data and your ticket Your ticket number and registration phone number are used to verify your participation
and to help you recover your ticket if a payment callback is interrupted.
